Chris welcomes everyone – new way operating AGM – asking everyone to be patient with us, as we are learning the new system.
New terminology – everyone is now a Volunteer. – no more GSL etc
Group Council – parents/patrol leaders/leaders plus any trustee members (not a parent of a child in the section)
Group Executive – is now Group Trustee Board
AGENDA:
Minutes of last meeting – agreed minutes by board, and seconded by Liz Senyah, all in favour
Adoption of the new constitution: Stu explains to the council what this entails. Voted through by Steve Leonard and Darrell Parton – and a show of hands (majority)
Firstly we have to do a Trustee Annual report and distribute – bringing us in line with Charity Commission
Financial year operates 1st April to 31st March
Number of members to appoint to board – maximum of 10, one of them being Stu, we appoint a chair and a treasurer, Sharon co-opted member. We have 6 places available which we are looking for parents to join the council (this is a 3- year term) exception chair – which is done every year.
Stu requesting a Beaver rep
Quorum – a number of people present to vote - suggesting 4 members present to vote anything through.
Need to second this – Lee Macmanomy, show of hands to accept
Agree numbers on council- made up of parents of scouts/cubs/beavers/leaders/co-opted members – reach 100 no. Quorum no. is 10 – doesn’t matter what the split - proportions to be decided on. – suggestion of 15
What hat do the volunteers wear ?
Proposal of 15% of membership - agreed by Lauren Dale.(hands raised in favour) Trustee Board will go away and comes up with ratios of volunteer to parent etc. ACTION

Leaders will not be on Trustee Board and vote – but will still be encouraged to attend meeting.

Darrell Parton – District Representative – Thanks for the invite – apologies to all the parent for the new protocols – but we need to fall in line with the Charity Commission.
Lots of work goes into running a scout group – any support parents can give will always be appreciated. Your children are learning skills for life – this is due to the dedication of the sections. We as a district are trying to recruit Volunteers. Thanks to all the parents and a big well done to the Group.
Presentation of Awards: 5 years award - Chezney Horton and Josh Coterill. Wood Badge; Chezney Horton & 40 years’ service for Stuart Evans.
